The Culinary Services Department at the College of Saint Benedict invites applicants for the full-time (1.0 FTE), benefit eligible position of Associate Director of Catering and Events.
A successful Associate Director of Catering and Events is a career professional who possesses the desire to contribute to the cultivation, development and success of the College of Saint Benedict catering and events operation. He/she will be prompt and proficient responding to client inquiries via phone or email throughout the event planning process. Must be well versed in professional communication with the aptitude to exercise discretion. Proficient organizational skills are a necessity; the Associate Director must be conscientious of the quantity of bookings each month. This position provides excellent customer service with the utmost professional integrity. Be courteous, show initiative and enthusiasm with guests and staff. Ensures all events are successful through positive experiences for our campus community and guests.
The College of Saint Benedict (CSB) is a liberal arts college for women located in the central lakes area of Minnesota. Responsibilities
Events and Catering Operations (60%)
Under the direction of the Director of Culinary Services, oversee all financial operations of the Events and Catering department including budget projections, monitoring of revenue and expenses, and following salary labor costs, with the goal of the department be a profit center for the institution.
Work with internal and external customers in planning all aspects of their events including catering, room setup, technology while facilitating “one stop shop” access.
Complete contract and facility agreements with external customers while ensuring liability and insurance needs are met.
Generate customer invoices, process accounts receivable, and complete end of month reports for Business Office including past due invoices, record of deposits/payments and sales tax.
Create bid proposals and provide cost information for facility charges, catering, media, and housing to external groups wanting to host events on campus.
Execute sales of venue spaces on campus. Responsible for building and maintaining relationships with customers to facilitate new and recurring business.
Responsible for marketing of the department including requests for marketing materials, social media presence, website updates, advertising, and involvement in local chamber of commerce activities.
Responsible for updating and oversight of pricing of event facilities, summer housing, and catering guide.
Maintain and promote effective relations with all campus departments and constituents and external stakeholders and customers by attending meetings and through regular communications.
Supervisory Responsibilities (20%)
Responsible for hiring, supervising, and training Events and Catering Management Team.
Provide leadership to Events and Catering team in regard to level of service standards and policies.
Ensure safe service of food and beverages by following established food code.
Perform other duties as assigned, including but not limited to the following (20%)
Work together with Saint John’s University to coordinate and share space to meet the needs of customers.
Coordinate housing needs on campus including loft apartment rentals, employee apartment rentals, and summer housing for event guests.
Regular use and oversight of the EMS Scheduling Software and Conference Programmer Housing Software.
Bachelor’s degree or the completion of a program in Hospitality or Culinary Management with three years event planning experience, or equivalent combination of education and experience.
Two years supervisory or management experience
Professional and effective communication skills including oral, written, and interpersonal skills to maintain cooperative and effective working relationships
Demonstrate effective and efficient computer skills within Microsoft Office or similar products
Demonstrate excellent customer service, leadership, and problem-solving skills
Ability to multitask and attend to high levels of detail
Demonstrate time management and ability to multi-task
Knowledge and skill in budgeting and financial management
Preferred Qualifications:
Experience with food, beverage (including alcohol service), facilities, and housing operations.
Experience working with an event planning software
Physical Requirements:
Ability to lift up to 40 pounds, with or without assistance
Ability to tolerate noise levels, temperature fluctuations and ability to stand for long periods of time
