The Executive Associate to the Provost reports directly to the Provost performing high- level duties administering the academic and business operations of the Provost’s Office.The incumbent will contribute to the development, implementation and administration of Provost Office, Academic Affairs, and other related policies, guidelines and procedures.This position acts as liaison between the Provost’s Office and the President's Office, other offices in the President’s cabinet and leadership team, and all offices withinAcademic Affairs (including the colleges, IR, IT and the Library), faculty committees, other offices across the campus, student and parent groups, employees and contractors/vendors, and the external community. The incumbent provides liaison to the Board of Governors and its Committees in concert with the President’s Office. Thisposition requires a high level of confidentiality, discretion and independent judgment. Projects assigned to this position will be varied, but require special concentration and skills, including the ability to: draft and review policy documents, prepare and present comprehensive briefings appropriate for decision-makers, understand and implement accreditation standards, Prepare and manage budgets and financial paperwork, analyze operations, make judgments and referrals; evaluate and implement standards, policies and procedures; conduct confidential independent research; manage projects within strict time lines; and prepare detailed and comprehensive reports of findings and recommendations; and plan and implement events. The incumbent will perform other functions and duties as assigned by the Provost and Senior Vice President for Academic Affairs. Core Duties - Perform in-depth research and conducts fact-finding on sensitive and confidential-issues of significance which require the Provost’s personal attention. Apply situational judgment while facilitating conflict resolution. Makes referrals to the appropriate vice-president, college deans or department/program heads, and advises the provost when the involvement of outside agencies and organizations may be advisable.

Coordinate with President’s Office, Provost’s Office, Academic Deans, facultycommittees and Human Resources to prepare the following letters: eligibility and procedure to apply for tenure, tenure notification letters, renewal/non-renewalletters, etc. for the Provost’s (or President’s as appropriate) signature. -
Works closely with the Provost, Deputy Provost, and others involved in institutional and disciplinary accreditation, and program licensure, to plan and develop workflow for and implement steps necessary to attain and maintain program and institutional accreditation and licensure. -
Assist the Provost and Deputy Provost in managing faculty recruiting, contracts, workloads, compensation, evaluation, and related tasks in conjunction with Deans and Human Resources. Works particularly closely with Human Resources and Budget/Business Offices regarding the budgeting and approval of all positions. -
Prepares and manages budgets and financial workflows. -
Independently prioritizes and coordinates the Provost’s calendar, preparing pertinent information for the Provost's use for meeting with internal and external constituents, assuring the Provost is fully prepared and briefed. -
Review annual sabbatical application packets. Write an abbreviated abstract of each application request for the Provost to utilize in making decisions to grant/deny the sabbatical leave request. -
Independently prioritizes and coordinates the Provost’s calendar, preparing pertinent information for the Provost's use for meeting with internal and external constituents, assuring the Provost is fully prepared and briefed. -
Coordinate and track Annual Performance Management Evaluation Forms, goals, goal attainment, completion and submission by Provost’s Direct Reports. -
Works with Deputy Provost to coordinate and manage the Faculty Activities Reporting System, preparing summary information for the Provost to use in decision-making at all steps in the process. -
Coordinate periodic events managed with the assistance of Academic Affairs (e.g., commencements, faculty awards and student recognition ceremonies, etc.)Coordinates meetings, teleconferences and materials necessary for the Academic Affairs Committee of the Board of Governors -
Issue and deliver certificates to students awarded Deans List honors each fall and spring -
Supervise distribution of internal communications to faculty and student groups from the Office for Academic Affairs. -
Plans, organizes, coordinates, and oversees daily office activities and operations. Ensure smooth operation of the office. -
Supervise student assistants. -
Perform all other duties deemed necessary for this position. |
