Position Summary The Program Coordinator is responsible for coordinating professional development initiatives and supporting student and alumni engagement for Chemistry and Chemical Physics PhD students. The Program Coordinator also assists the Director of Academic Administration in the management of the Graduate Program and the day-to-day activities of the Department of Chemistry.
Responsibilities - Manage professional development initiatives for Chemistry graduate students, including industry recruiting program for postdocs and fifth year PhD students. Maintain and build relationships with employers, and coordinate with other departments and offices at Columbia to expand opportunities for career development in the Chemistry Department. Strengthen tools for tracking alumni placement and supporting relationships between alumni and department
- Promote graduate student engagement in the program and support Chemistry graduate student groups by advising current and prospective student groups on opportunities for grants and funding, interfacing with other schools and departments at Columbia, tracking student group budgets, making arrangements for student events and on university and department policies.
- Responsible for preparation of material and reports for the graduate program, faculty academic committees, and the Chair, and organizing faculty meeting materials, and schedules faculty committee meetings
- Working with other part-time coordinator, support arrangements for graduate student admissions, including responding to graduate program applicant inquiries and making arrangements for admitted student visiting weekends, including preparation of materials, student, faculty and open house schedules, catering, and entertainment, and manage reimbursement of expenses for admitted student visiting weekends
- Collaborate with website administrator to create and manage Chemistry website content and proactively manage departmental communications and social media (i.e. Twitter).
- Manage graduate student files and records, coordinate Ph.D. student examinations, monitor student progress through program benchmarks, and prepare graduate student degree application
- Organize endowed lectures and other events for the Department, including scheduling with faculty and preparing logistics for receptions, dinner, lunches, etc. in collaboration with other part-time Coordinator
- With Director of Academic Administration, manage faculty search activities including candidate interview, travel arrangements, lodging reservations, and lectures, and placing ads in appropriate publications. Manage the on-boarding activities of research and faculty hires including liaising with ISSO and other University partners.
- Perform related duties & responsibilities as assigned/requested.
Minimum Qualifications - Bachelor's level degree or equivalent in experience.
- 2 years of related experience.
Preferred Qualifications
Other Requirements Experience with word processing and spreadsheets; Strong communication, interpersonal, and organizational skills, self-motivated and self-starter with strong attention to detail and ability to manage multiple priorities, required.
