Essential Duties and Responsibilities: - Advancing the show with the artist or promoter representative – This process requires the Event Manager to contact the representative in advance of the show date and obtain the Technical Rider, The Security Rider, Rigging Information and other details of the event.
- The Event Manager will communicate with staff regarding the needs of the event in terms of any special staffing, security needs, early arrivals of trucks, overflow truck and bus parking arrangements, catering information, VIP Party information, early entry situations, the event timeline and any other items pertinent to the proper and successful operation of the event.
- Produce and distribute comprehensive Event Notes at least one week prior to the event.
- Work with the ticket office to generate on sale maps, sold maps and audits.
- Communicate with the promoter or artist representative the expectations of arena management.
- Order any requested furniture, extra tables, equipment such as additional forklifts, scissor lifts, etc. and make sure all furniture and equipment are returned in a timely manner. Provide invoices to the VP/Director of Booking & Events for settlement of the event.
- Order any requested gas and make sure empties are returned in a timely manner.
- Make sure dressing rooms are clean, lights are on and doors are unlocked and open prior to the show’s arrival.
- Meet and greet the shows production staff as they arrive.
- Provide sold maps and audits to the show when requested.
- Provide keys to dressing rooms upon request.
- Walk through with VIP Party Coordinator on day of show.
- Set the security meeting time and location and communicate to the guest services staff.
- Provide parking lists for AELA, Merch Lot and Haunted House Lot when necessary to the parking and security staff.
- Assist Building Services with the floor set. Check to be sure all is set and correct.
- Provide staff lists for entry of any VIP, sponsor or other persons who may enter the venue through the security entrance.
- Provide Building Services with needs for the concourse and exterior set ups.
- Walk the concourse, club and arena level prior to door opening time and verify everything is in its place and the building is ready to be opened.
- Meet with the promoter and artist rep to announce door opening.
- Provide invoices for settlement to the VP/Director of Booking & Events.
- Arrange for runners when requested.
- Attend Security Briefings representing management interests.
- Know and understand all building policies and procedures, including fire code.
- Be a resource for event coordination, event staffing, Manager on Duty schedules, security, crowd and risk management, police, fire and safety personnel; and ADA compliance.
- Attend PMP meetings. Conduct production meetings, weekly department meetings and event security meetings to discuss procedures, problems and changes. Develop and maintain a harmonious working relationship with all facility departments.
- Organize and maintain event managers storage cage and equipment.
- Responsible for all venue equipment to be stored properly after each event.
Required Qualifications: - Bachelor’s degree from accredited four-year college or university.
- Three (3) to five (5) years related experience and/or training in the public assembly industry or combination of education and experience.
- Management experience, preferred, or supervisory experience.
- Demonstrate knowledge in operational procedures, facility capabilities, industry terminology, event-related services and technical requirements for the types of events anticipated at the facility.
- Possess skills and experience in budget preparation, labor relations, purchasing procedures and supervising/training personnel.
- Engage in much decision making that is generally governed by procedure and guided by policy.
- Possess any licenses, certificates or training required by local, state or national authorities for the operation of the equipment found in the facility.
- Operate equipment such as light trucks, pallet jacks, forklifts or other light power-driven equipment.
- Operate a personal computer using Windows, Microsoft Office software, event software and payroll software (ABI).
- Operate portable radio and standard office equipment including copier and fax machine.
- Follow oral and written instructions and communicate effectively with others in both oral and written form.
- Organize and prioritize work to meet deadlines.
- Work effectively under pressure and/or stringent schedule and produce accurate results.
- Maintain an effective working relationship with clients, employees, patrons and others encountered in the course of employment.
- Be licensed and insured to operate a motor vehicle in the United States.
- Must be able to pass a background and credit check.
- Remain flexible and adjust to situations as they occur.
- Excellent communication and interpersonal skills and organizational ability.
- Ability to anticipate problems and implement immediate corrective action.
- Considerable knowledge of safety regulations and other federal, state or local laws and regulations.

- This position requires sitting, keyboarding, walking, standing, stooping and may require lifting and/or moving up to 55 lbs., substantial standing and walking.
- It is imperative that you have the ability to work independently without supervision, be self-directed and demonstrate initiative.
- Exhibit good judgment and decision-making skills, as well as ability to manage your own time and implement your own schedule.
