Department: University Registrar Salary/Grade: EXS/7 Job Summary: Working with the Special Assistant for Graduation Transition to oversee the rescheduling and reimagining of dozens of graduation ceremonies, this role will plan a multifaceted timeline for transition that ensures all details can be carried out in a timely manner. This includes clarifying and recording implementation goals, designing project plans to implement agreed-upon changes, leading teams from across the university to develop and progress local plans for transition, and developing and implementing systems for capturing critical tasks, deadlines, aspirations, and stakeholder expectations. The project administrator will coordinate and ensure timely delivery of all graduation weekend transition and related end of the year changes. Over two years, this position will provide direction and thought leadership to develop strategic administrative initiatives that meet the mission/objective of the graduation transition project. Oversees the effective, compliant, & efficient daily management of all operational, financial, & business functions in support of the program/project & in coordination with central offices such as HR, Budget, Facilities, IT, & Provost. Represents Graduation Transition on internal & external business affairs & is viewed as an expert resource regarding project details and administrative affairs. Specific Responsibilities: Planning - Creates, manages and implements graduation transition plans.
- Aids committees and schools in building their own graduation transition plans.
- Provides counsel to other planners, recommending changes and improvements to functional operations to meet organizational objectives.
Events - Develops, plans, and implements strategies to accomplish graduation weekend transition goals.
- Collaborates with internal/external partners to ensure that events are implemented and meet or exceed planned goals.
- Manages event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner.
Administrative - Operationalizes goals & objectives; ensures that resources are created or obtained.
- Analyzes data, recommending and implementing changes to ensure attainment of mission.
- Manages logistics requirements, including facilities, venue, scheduling, technology, catering, etc.
- Oversees documentation of agreements between NU and partners, ensuring that agreements are complete and reviewed by all necessary NU officials.
- Ensures all schools and units’ graduation transition plans are on track and complete in a timely manner
- Ensures that day-to-day operations are appropriately managed, efficient and effective.
Budget & Financial - Ensures that the program/project meets associated revenue & expense goals.
- Plans & manages complex budget(s), which fund strategic mission including financial sustainability & enhancement models.
Minimum Qualifications: - Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- Four years of successful project or program management.
