PURPOSE: The Administrative Assistant performs complex clerical work, manages the office, and provides administrative support. The Administrative Assistant works under the supervision of the Vice President for Student Life. RESPONSIBILITIES AND DUTIES: - Provide leadership for department
- Assist VP in preparation for Board meetings
- Create forms, reports, databases, presentation materials and other documents using Microsoft Office (word, excel, power point, publisher)
- Assist VP in minor research projects such as literature review searches
- Assist VP in preparation for presentations, retreats, and the collection of goals/objectives/assessments
- Assist VP by taking minutes at selected meetings
- Maintain schedule for VP and AVP/Dean of Students, as needed
- Develop proficiency in Student Life software systems
- Facilitate a professional, seamless and customer service office culture
- Take responsibility for staffing, phone procedures, and correspondence
- Make updates to directory and web pages, as needed
- Oversee welcome desk including hiring, training, supervision and evaluation of student staff
Maintain department supplies, equipment, and records - Order office supplies and research companies/products as needed
- Compile, monitor and maintain departmental data on all budgetary categories under the VP and AVP/Dean of Students
- Process purchase orders, mail, expense reports, visa statements
- Maintain vacation schedules for Student Life team
Communicate with constituencies - Provide all support for programs and activities including phone, correspondence, reports, typing and file maintenance
- Work with VP and AVP/DOS on correspondence and requests for information and materials
- Coordinate meeting place logistics as needed, and coordinate room setup, catering and other needs
- Compile travel itineraries and schedule travel accommodations, including air, hotel, car rental and any conference registration required
Other - Adhere to guidelines in the University Personnel and Safety Handbooks and departmental policies
- Strive to be a lifelong learner as exemplified by professional development plan
- Complete special projects as needed or assigned
QUALIFICATIONS: 1. High school graduate or equivalent; college degree preferred. 2. Two years of secretarial and administrative support experience strongly preferred. 3. Demonstrated experience with Microsoft Office, spreadsheet software, email and PowerPoint preferred. 4. Well organized, able to set priorities and deal with matters in a tactful and highly confidential manner. 5. Capable of working independently and with students in a supervisory role. 6. Ability to work under pressure and deal with deadlines (essential). 7. Comfortable with multi-tasking; flexible with fluid situations and effective with changing priorities. 8. Previous customer-service oriented work, including the ability to establish and maintain effective relationships with students, parents, alumni, faculty and staff. 9. Solid communication skills required. 10. Strong interpersonal skills (emotionally intelligent). 11. Strong commitment to the values of diversity and human compassion. 12. Commitment to the personal development of college students. 13. Commitment to working in collaboration with constituencies.
