All of which has allowed the UW to be nationally recognized as a "Great College to Work For" for four consecutive years.The Department of Psychiatry and Behavioral Sciences within the UW School of Medicine is the third largest clinical department within the School of Medicine with 285 full-time faculty members, 280 clinical faculty members, and over 200 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department's highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department's robust research portfolio totals $35 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. Other areas of excellence include Addictions, Autism, High Risk Youth, Neurosciences, and Trauma, and the Department is developing innovative new programs in Technology and Mental Health, Global Mental Health, Maternal and Child Mental Health, and Targeted Intervention Development.The Department of Psychiatry and Behavioral Sciences currently has an outstanding opportunity for a full time Continuing Education Coordinator.Position Purpose:To contribute to strategic and operational components of behavioral workforce training programsThe position will help oversee administrative and operational functions, including scheduling and tracking meetings, travel, expenses and overall goals of the grant. It will also coordinate activities, and participate in multiple phases including planning, marketing, delivery, maintenance, and evaluation.Responsibilities:Administrative Support (20%):Coordinate, schedule and monitor project meetings and conference calls to support trainings and implementation; Coordinate the logistics and materials for training and technical assistance activities: including arranging logistics, travel, presenters, and preparing and collating materials, etc.; Arrange meetings and conferences, including preparing agendas, announcements, and minutes, arranging and setting up conference rooms, AV equipment, and food/beverage orders; Coordinate and track a high volume of travel arrangements and create detailed travel itineraries for travelers; Process reimbursements for faculty, staff and others related to MHTTC activities; Track and pay purchases and invoices using various University processes. Training Program Support: (50%)Coordinate trainings and technical assistance activities with training consultants and national partners to support program dissemination; - Develop timelines, manage logistics and coordinate training materials for large, out-of-state, regional, complex and multi-day training events; - Coordinate the team's use of webinar, web conferencing and other web-based software and provide end-user training and support for team members and remote participants; - Coordinate the promotional activities associated with training programs, including the design, production and mailing of promotional materials; - Develop and support educational content for online delivery using both synchronous and asynchronous distance learning platforms; - Support the evaluation of training activities through coordination with Evaluation team, reviewing analyses of training events and assisting with evaluation approaches. Program Communications: (20%)Develop website content and coordinate resources for website maintenance and feature updates; - Maintain website content, checking for functionality, visibility and posting relevant information; - Help coordinate and author content and other features for the MHTTC newsletters; - Coordinate Advisory Board meetings and logistics; - Other relevant duties to support training and evaluation activities.Data Management: (10%)Manage contact database and communications tool, including adding contacts, sorting and sending communications and analyzing results; - Prepare data for reports, presentations, project deliverables, grants preparation and manuscript publication in peer-reviewed journals; - Provide oversight and quality control for data entry (including manual and auto import of existing data)Lead Responsibilities:The position will help coordinate the continued development and implementation of this SAMHSA-funded Center for evidence-based practices for serious mental illness, which is based at Harborview Medical Center. The position will work closely with the program manager, faculty co-directors and other MHTTC staff to monitor Center activities to ensure milestones are achieved on time and within budget. The position will assist with internal and external communications strategies and will coordinate, organize and manage key Center activities, and ensure training and TA activities are coordinated with the evaluation team.?Minimum Requirements:Bachelor's Degree3 or more years related work experience in one or a combination of the following areas:Training or technical assistance programs Clinical services programs related to mental health delivery Educational programs Event & logistics coordination for behavioral health training programs. Ability to prioritize work appropriately and to work effectively both as a team member and independently with minimal supervision;Ability to work on multiple projects with oversight by several staff members; Proficiency in the use of the following software applications such as Microsoft Word, Excel, PowerPoint and Outlook.Experience supporting the use of synchronous web conferencing technologies, including end-user training and support; Experience with large datasets, performing data extraction from databases, data cleaning, reporting and analysis. Demonstrated experience with databases, data extraction, cleaning, reporting and analysis. Ability to work independently in a very challenging, high volume setting where deadlines and priorities constantly change; Strong analytical skills. Able to research topics/issues quickly and efficiently given limited guidance and direction; Demonstrated attention to detail and creative problem-solving skills; Excellent interpersonal skills, including ability to work effectively both as a team member and independently with minimal supervision and ability to interact positively with a wide variety of people; Fluent English communication skills, orally and in writing; -Ability to prioritize work appropriately, juggling short-term and long-term deadlines.Desired Requirements:Experience working with public or representing an organization to other organizations; Knowledge of and experience with University of Washington purchasing and travel procedures;Experience using collaboration tools such as OneDrive or Smartsheet;Knowledge and experience with maintaining multiple calendars in Outlook; Knowledge and experience with website software such as Drupal or Wordpress;Knowledge and experience with contact management/newsletter software such as The Data Bank or other databases.Application Process:The application process for UW positions may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
