The Director of University Events functions as the strategic business leader for all aspects of select university events, focusing on building internal and external relationships, and marketing an exceptional level of customer service to both colleagues and clients alike. The position oversees the development and implementation of departmental strategies and ensures implementation of the brand service strategy and brand initiatives.
Duties include but are not limited to developing a strategic plan for all events, budget management, event logistics, effectively communicating with current and prospective clients, planning and managing events, staff, vendor relationships, and collaborating effectively with all departments to present the university in the best possible light at all times. Development and execution of global events strategy, budget, metrics and criteria for selecting and developing the premier events that raise our brand and drive deeper relationships with our customers and the university community. Directly reports to the Assistant Vice President for Alumni and Donor Engagement, and supports the Office of Development and Alumni Relations and the Office of the President as required.
The ideal candidate is an experienced, well-rounded events person who is agile, resourceful and possesses a strong production, communications, and experiential marketing background. The role requires a mix of strategy and execution and a deep passion for the power of events to bring people together.
Essential Duties and Responsibilities:
1. Develops a strategic plan for the Office of University Events, budget management, and university events. Prepare event briefings for appropriate staff. 2. Collaborates with the Assistant Vice President for Alumni and Donor Engagement on planning and executing events. 3. Manages involvement of executive leadership, appropriate staff, and vendors in planning and implementing all university major events. 4. Assist the Office of Alumni Relations in planning and executing alumni events and activities. 5. Collaborates with University Communications to develop and implement a long-range marketing plan for university events. 6. Cultivates and maintains effective relationships with key executives and industry members while working with the Office of Development communications and marketing staff, as appropriate. 7. Develops, maintains and reconciles detailed budgets. Responsible for executing all vendor contracts accordance with department policy. Manages vendor relationships in order to stay abreast of innovative ideas and best value for the university. 8. Manages décor, menu and set-up for events. Staffs events to ensure quality. 9. Maintains yearly schedule of all events. 10. Supervises the daily activities of the Office of University Events, leads and manages University Events department staff (Assistant Director, University Events Coordinator). 11. Works directly with appropriate University Events, Office of Development and University Communications staff to ensure all printed materials, invitations, talent lists and communications have been handled appropriately and accurately. 12. Ensures effective and timely follow-up for each event, including briefings, minutes, thank you letters, invoicing, and all other follow-up as appropriate. 13. Performs all other duties as assigned.
• Master’s degree in Marketing, Hospitality, Sales, Business or a related field. • 10 plus years of experience in management, planning and execution of high profile events in a development/fundraising, university, non-profit or corporate/business environment for a large organization. • Current membership in the National Association for Catering and Events (NACE). • Current certifications as a Certified Professional in Catering and Events (CPCE) and as a Certified Meeting Professional (CMP). • Excellent contract negotiation and culmination skills. • Strong business acumen. • Acute attention to details and commitment to high standards of service excellence. • Proven leadership ability in management and execution of high profile special events.
• 15 years of experience in Marketing, Hospitality, Sales, Business or related field.
